Visiting the website

When you visit our website, the web server processes technically necessary data: IP address, date and time, the page requested, browser and operating system, and the referring page. This data is required to deliver the website, ensure its security (e.g. protection against misuse by temporarily limiting requests per IP address) and fix errors. The legal basis is our legitimate interest in operating the website securely (Art. 6(1)(f) GDPR).

The website is hosted by [to be completed: hosting provider, registered office/server location], with whom a data processing agreement has been concluded. Server logs are deleted after [to be completed: number] days. Fonts, images and scripts are loaded from our own server – merely visiting the site does not transfer any data to Google Fonts or other third parties.

Contacting us

If you contact us via the contact form, e-mail or phone, we process the information you provide (name, e-mail address, phone number if applicable, subject and message) in order to answer your inquiry and, where applicable, prepare an offer. To protect against spam, we additionally store a non-reversible hash of your IP address. The legal basis is the performance of pre-contractual measures (Art. 6(1)(b) GDPR) or our legitimate interest in answering inquiries (Art. 6(1)(f)). If no contract is concluded, we delete the data after six months.

Furniture leasing: rental request, offer and contract

For a rental request via our rental shop, we process your contact details (name, company if applicable, e-mail address, phone number), the delivery address, rental start and duration, the selected furniture and your delivery notes. We need this data to check availability and transport, reserve the selected furniture for you and prepare an offer (Art. 6(1)(b) GDPR). The contents of your cart are stored only locally in your browser until you submit the request.

Online offer: You receive your offer by e-mail with a personal, non-guessable link that lets you view it, download it as a PDF and accept or decline it. Anyone who knows the link can view the offer – please do not share it. If you accept, we store the name you enter together with the date and time as proof of the conclusion of the contract; if you decline, we store any reason you choose to give. If an offer remains unanswered, you will receive one reminder by e-mail.

Delivery, assembly and collection are carried out by our own team. We transfer invoice data to our tax advisor where this is necessary to fulfil tax obligations. Data from concluded contracts is retained for the statutory retention period (7 years, Section 132 Austrian Federal Fiscal Code) (Art. 6(1)(c) GDPR). Requests that do not lead to a contract are deleted after six months.

Calculating transport costs (OpenStreetMap)

To calculate the distance and travel time to your delivery address and thus the transport costs, our server transmits only the address (street, postcode, city, country) – without your name or any other personal details – to the following services:

  • Nominatim (converting the address into coordinates) of the OpenStreetMap Foundation, St John’s Innovation Centre, Cowley Road, Cambridge, CB4 0WS, United Kingdom. The EU Commission has issued an adequacy decision for the United Kingdom.
  • OSRM (route calculation): only coordinates are transmitted, no address. The project’s public server is operated by [to be completed: verify OSRM server operator – according to the project FOSSGIS e.V., Germany].

We cache the results so that the same address is not queried again. The legal basis is the performance of pre-contractual measures (Art. 6(1)(b) GDPR) and our legitimate interest in an accurate, transparent price calculation (Art. 6(1)(f)).

Sending e-mails

We send e-mails (offers, reminders, confirmations, newsletters) via [to be completed: e-mail/SMTP provider, registered office]. A data processing agreement has been concluded with the provider.

Newsletter

For the newsletter we only need your e-mail address and your consent (Art. 6(1)(a) GDPR, Section 174 Austrian Telecommunications Act 2021). We use the double opt-in procedure: after signing up you receive an e-mail with a confirmation link; only then is the subscription active. As proof, we store the time of registration and confirmation as well as a hash of your IP address. The newsletter is managed on our own system; no external newsletter service is used.

You can unsubscribe at any time via the unsubscribe link in every issue or by e-mail to office@wohnfee.at. Your data will then be blocked for mailing or deleted.

No cookies, no tracking

Our website does not use cookies for analytics or advertising purposes, nor any tracking or statistics services. This is why we do not need a cookie banner.

For certain functions we use your browser’s local storage: cart and favourites in the rental shop and the selected language. This data remains on your device and is only transmitted to us when you submit a request. The legal basis is Section 165(3) Austrian Telecommunications Act 2021 (strictly necessary for the service you requested). You can delete this data at any time via your browser settings.

Embedded videos and social networks

In some posts we embed YouTube videos (Google Ireland Limited, Gordon House, Barrow Street, Dublin 4, Ireland) in privacy-enhanced mode. The video is only loaded when you click “Play video”; only then is a connection to YouTube established and data (including your IP address) may be transmitted to Google, including to the USA (Google LLC is certified under the EU-US Data Privacy Framework). The legal basis is your consent given by clicking (Art. 6(1)(a) GDPR).

We link to our profiles on Instagram, Facebook and LinkedIn using simple links only. No data is transferred to these networks when you visit our website; the privacy policies of the respective provider only apply once you click a link.

Your rights

You generally have the right to access, rectification, erasure, restriction of processing, data portability and objection. You can withdraw any consent you have given at any time with effect for the future. Please contact office@wohnfee.at.

If you believe that the processing of your data violates data protection law, you can lodge a complaint with the supervisory authority. In Austria this is the Data Protection Authority (Datenschutzbehörde), Barichgasse 40–42, 1030 Vienna, dsb@dsb.gv.at.
